SciMeetHub Conferences – Terms and Conditions

1. Transportation

All transportation and parking arrangements are the sole responsibility of the registrant. SciMeetHub does not provide or reimburse transportation or parking expenses.

2. Insurance

SciMeetHub does not provide any form of insurance coverage. The registration fee does not include insurance charges of any kind. Attendees are advised to arrange their own travel and health insurance, if necessary.

3. Responsibility

Delegates, speakers, and attendees are fully responsible for their personal belongings during the conference. SciMeetHub and its venue partners are not liable for any loss, theft, or damage to personal items, regardless of the cause.

4. Press and Media

Media attendance and coverage are subject to prior approval. Press representatives must obtain written authorization from the SciMeetHub Organizing Committee before the event. Members of the press may not quote or interview speakers, delegates, or attendees without their written consent.

SciMeetHub operates as an independent, self-funded organization dedicated to promoting scientific and academic research.

5. Invitation Letters

Invitation letters will only be issued to individuals who have completed registration for an event listed on scimeethub.com. Once registered, please contact to connect@globalmeethub.com to request your personalized invitation letter. Letters will follow the official SciMeetHub format; alternative formats cannot be provided.

6. Cancellation Policy

If SciMeetHub cancels a conference or event for any reason*, registrants are entitled to a full refund of the registration fee or may apply the amount toward another SciMeetHub event within one year of the cancellation date.

*No refunds will be issued for cancellations caused by events beyond SciMeetHub’s control, including natural disasters, disease outbreaks, epidemics, or government actions.

7. Postponement

If a conference is postponed and a registrant cannot attend on the rescheduled dates, SciMeetHub will provide a full refund* of the registration fee or allow the fee to be applied toward another SciMeetHub event within one year.

*If postponement is due to force majeure events such as natural disasters, disease outbreaks, or political restrictions, no refund will be issued if the participant opts to cancel their registration or accommodation.

8. Transfer of Registration

• Fully paid registrations may be transferred to another individual from the same organization by emailing contact@scimeethub.com with the replacement’s full name, title, email address, and contact number.
• Transfers are not permitted within 15 days of the conference start date.
• Registrations may be transferred to a future SciMeetHub event if requested at least 30 days prior to the registered event.
• Refund policies do not apply to transferred registrations.

9. Visa Information

Participants are encouraged to apply for their visas as early as possible. SciMeetHub is not responsible for contacting embassies or assisting with visa applications.

Important Note: Visa denials or delays are personal matters and are not eligible for registration refunds under any circumstances.

10. Refund Policy

Because many conference expenses (venue, logistics, printing, shipping, accommodation arrangements) are paid in advance, the following refund policy applies:

1. Registration fees for virtual participation, e-posters, and video presentations are non-refundable.
2. Cancellations made within 30 days of registration are eligible for a full refund (minus processing fees), except for the categories listed above.
3. No refunds will be issued prior one month except in cases where the event is cancelled or postponed by SciMeetHub.

11. Hybrid / Virtual Participation Policy

If SciMeetHub converts a physical conference into a virtual event:

• Participants will receive a refund of the difference between the original in-person fee and the virtual participation fee.
• Participants who choose not to request a refund may claim a 50% discount on registration fees for a future SciMeetHub event in 2026.
• Fees for virtual participation, e-posters, and video presentations remain non-refundable.
• Except as stated above, no refunds will be issued within 1 month.

12. Accommodation Cancellation Policy

Participants booking accommodation through SciMeetHub will be assigned hotels in accordance with their confirmed bookings. As most hotels enforce a 30–60 day cancellation policy, any cancellation request must be submitted immediately to connect@globalmeethub.com  / contact@srisai.ca for consideration.
If the hotel declines to issue a refund under its policy, SciMeetHub will not be responsible for reimbursing the participant.

13. Authorization Policy

By registering for a SciMeetHub conference, you authorize SciMeetHub to photograph, film, or record you and to use your name, image, likeness, voice, and comments for promotional or educational purposes across various media platforms worldwide without compensation.

Unauthorized photography or recording during sessions is strictly prohibited.
